AUBC Code of Conduct

As members of AUBC, we are committed to upholding the highest standards of behaviors in all our activities and interactions. These guidelines are designed to protect our club’s mission and vision and to safeguard the well-being of all members and officers. Adherence to these standards is crucial to avoid club membership termination.

Club Integrity

Integrity is the foundation of our club’s values and is essential to building trust, encouraging respect, and achieving our collective goals. To maintain the integrity and reputation of AUBC, all members and officers adhere to the following principles of integrity:

Respect: We treat all members, guests and stakeholders with dignity and respect, valuing diverse perspectives and endorsing an inclusive environment. We must demonstrate sportsmanship and respect both on and off the court. Encourage a supportive and inclusive environment for all members.
Honesty: We are truthful in our communications and actions, ensuring that our words and deeds are consistent. Avoid any conflicts of interest that may compromise the club’s integrity, programs, and events.
Fairness: We act with fairness in all our dealings, ensuring that our policies and practices are just as equitable.
Transparency: We maintain open and clear communication, sharing information appropriately and ensuring that our policies are fair and transparent.
Accountability: We take responsibility for our actions and decisions, acknowledging our mistakes and striving to learn from them.

Ethical Standard

Our ethical standard serves as a guide to ensure that our actions and decisions reflect the values of honesty, integrity, respect, and responsibility.

Guidelines for Ethical Conduct

Respectful Communication:
1. Engage in open, honest, and respectful dialogue with all members and officers.
2. Avoid language or behavior that is discriminatory, harassing, or harmful that creates a negative atmosphere.
Conflict Resolution:
1. Address conflicts constructively and seek amicable resolutions.
2. Follow established procedures for reporting and resolving issues or grievances.
Community Engagement:
1. Act as responsible ambassadors of the club in the broader community.
2. Engage in activities that promote the well-being and interest of the club.
3. Don’t engage in behaviors that would tarnish the club’s reputation.
Use of Resources:
1. Use club resources responsibly and for the intended purposes.
2. Avoid misuse of club funds, property or information.

Privacy and Confidentiality

Protecting the information of our club, members, and officers is vital. Therefore, we will:

Handle all personal/club data with the utmost confidentiality and care.
Respect the privacy of all members and officers in all communications and interactions.

Safety and Well-being

Our club is committed to providing a safe and welcoming environment. To prevent and address any instances of bullying, harassment, discrimination, and to promote mental health, we will:

Promote awareness and education about respectful behavior and anti-bullying practices, including cyberbullying.
Establish clear protocols for reporting and addressing any incidents of harassment or discrimination.

Governance and Compliance

Maintaining high standards of ethical behavior and mutual respect is crucial for the governance and compliance of our club. This involves:

Adhering to all club policies, rules, and regulations.
Ensuring that all officers and members act with integrity and accountability.

Any concerns about breaches of this standard should be reported using our Incident Report Form. All reports will be taken seriously and addressed promptly, with commitment to confidentiality and fairness.

By adhering to these guidelines, we will strengthen our club and create a positive, respectful, and ethical environment for all members.

How do I become a member of AUBC?

Initial Contact and Inquiry:

Direct Approach: Interested players are encouraged to directly connect with either

Patrick James or Wayne, the Club President, to indicate their interest in joining AUBC.

Responding to Ads: If players discover the club through advertisements or any

marketing medium, they should also reach out to Patrick or Wayne. This ensures a

standardized introduction to the club for all potential members.

Officer Vouching:

Membership Endorsement: If an officer proposes a new member, they must personally

vouch for or recommend the individual. This process ensures accountability and fosters

a sense of familiarity and trust within the club.

Personal Expression of Interest:

Direct Communication: Prospective members must express their interest to join the

club personally, whether in person, via text, messages, or email. This policy is in place to

ensure sincerity in communication and to avoid proxy applications.

Waiver Signing:

Acknowledgment of Club Policies: All new members are required to sign a waiver,

signifying their understanding and agreement to abide by the club rules, safety

guidelines, and acknowledging any liabilities.

The AUBC Club recognizes that our membership structure may evolve over time to better suit the needs of our club and its members. We are committed to maintaining transparency and open communication with our members. Should there be any changes or updates to the membership process, we will promptly inform all members to ensure everyone is aware and can adapt accordingly. Our goal is to continuously improve and adapt in a way that aligns with the best interests of our members and the club as a whole

What are the membership fees for AUBC?

Currently, AUBC does not require any membership fees. We highly value your regular participation in our scheduled games. Please note, however, that the facility hosting our games charges fees. These may be in the form of drop-in fees or other charges imposed by the facility.

What are the rules for the AUBC Facebook Group Chat?

Respect and Inclusion: Every member is to treat others with respect. No form of discrimination based on race, age, skill level, gender, gender orientation, or any other personal characteristic will be tolerated.

Stay on Topic: Keep conversations relevant to, primarily with badminton/other sports, events, and anything that concerns with AUBC. Avoid straying into unrelated topics, as this can make the chat overwhelming for many members.

No Personal Attacks: Criticize ideas, not people. Avoid any language that is confrontational, offensive, or derogatory.

Private Information: Refrain from sharing personal or sensitive information about yourself or others. This includes addresses, phone numbers, and other personal details. If you do need to share personal information, please direct message the particular member.

Alberta Privacy Act Adherence: All members are reminded to respect and adhere to the guidelines set by the Alberta Privacy Act. Sharing or using someone's personal information without their consent is strictly prohibited.

Avoid Spam: Refrain from sending repetitive messages, advertisements, or promotions unrelated to badminton/other sports or the group's activities.

Language Sensitivity: Since AUBC is a multicultural group, refrain from using language or making jokes that might be offensive to someone from a different cultural or racial background. English is the only language allowed in the group chat.

No Bullying or Harassment: All forms of bullying, harassment, or intimidation are strictly prohibited. Offenders will be removed from the group.

Media Sharing: Share images, videos, or links that are relevant to the group's purpose. Any inappropriate or offensive content will lead to the member being warned or removed.

Conflict Resolution: If a disagreement arises, handle it maturely. Contact Keith, the Peacekeeping Officer, if there's a rule breach.

Seek Permission for Mass Communications: If you wish to make a broad announcement or share something that impacts many members, consult with an admin or moderator first.

No Political or Religious Debates: This is a group focused on badminton. Avoid discussions that can easily become contentious, such as politics or religion.

Report Concerns: If you see content that violates these rules or feel uncomfortable with a certain discussion, report it to Keith, the Peacekeeping Officer.

Admin/Moderator's Decision is Final: Wayne is the president of the group and Patrick is the admin responsible for membership. Their decisions, in the interest of the group, are final.

Membership: For concerns related to membership, including joining or leaving the group, contact Patrick.

Continuous Violations: Members who consistently violate these rules, despite warnings, will be removed from the group.

Warnings:

Initial and Second Warnings: Members found to be in breach of our group's rules will be issued up to two warnings. These serve as constructive reminders to adhere to our club standards.
Final Warning: A third and final warning will be issued by the President of the Club. This serves as a formal notice of the member's standing and the consequences of further infractions.
Membership Revocation: Should a member fail to comply with the group rules following the three warnings, their membership will be subject to revocation.
